How to use this calculator
- Enter the monthly number of meetings.
- Add average meeting length in hours.
- Enter team members who typically attend.
- Enter total monthly team work hours.
Analyze how much team capacity is consumed by meetings. Estimate meeting load, lost productivity risk, and whether recurring meetings are reducing execution time too heavily.
A lower meeting load leaves more capacity for execution. A high meeting load may still be acceptable only when meetings directly remove blockers or improve decisions.
This calculator counts attendee-hours, not calendar events. A one-hour meeting with eight people costs eight team hours.
With 35 one-hour meetings and 8 attendees, the team spends 280 attendee-hours in meetings. Against 1,280 work hours, meeting load is 21.88%.
Meeting time often becomes excessive when it consumes more than 25% of total team capacity.
A healthy team meeting ratio is commonly below 15%, with 16% to 25% requiring active review.
Multiply meetings by duration and attendees to estimate attendee-hours lost to meetings.
Remove status-only meetings, shorten recurring meetings, and require agendas for decision meetings.
Compare meeting hours with decisions made, blockers removed, and follow-up work completed.
