Travel and event budgets often fail because the obvious price is only part of the total. Flights, baggage, local transport, exchange rates, taxes, service fees, accommodation, meals, tickets, staffing, and last-minute changes can add up quickly.
Build the estimate around the actual trip or event dates and the number of people involved. For group costs, decide in advance which expenses are shared equally and which are personal. Currency conversions should use a recent exchange rate and may need an extra allowance for card or bank fees. Event calculations should separate fixed costs, such as venue hire, from per-person costs, such as catering.
