How to use this calculator
- Enter all deadline-related tasks.
- Enter completed deadline tasks.
- Add average hours per remaining deadline task.
- Enter available team hours before the deadline window closes.
Estimate whether your team can meet upcoming deadlines with current capacity. This tool calculates deadline load, remaining required hours, risk level, and a practical health score.
Deadline load below 80% usually leaves enough room for review and urgent issues. A load above 100% means the team needs more time, fewer tasks, or more capacity.
Use realistic average task hours. Underestimating task duration is the most common reason deadline risk looks artificially low.
With 48 deadline tasks and 30 completed, 18 remain. At 3 hours each, 54 hours are required. With 120 available hours, deadline load is 45%.
Compare required hours with available hours and leave buffer for review, rework, and blockers.
A team should usually preserve at least 15% to 20% buffer before important deadlines.
A healthy deadline load is commonly below 80% of available deadline capacity.
Teams miss deadlines because of blockers, underestimated tasks, review delays, and late priority changes.
Rank deadlines by urgency, business impact, dependency risk, and effort needed to finish.
