How to use this calculator

  1. Enter the workload, date, cost, or risk assumptions shown in the calculator.
  2. Use values from your current policy, matter records, fee schedules, or documented planning assumptions.
  3. Select Calculate and review the main result plus each supporting metric.
  4. Change one uncertain input at a time to compare scenarios, then confirm the result with the responsible legal or compliance professional.

Formula

Disposition date = trigger date + whole retention years + fractional-year days + legal-hold extension. Review-by date = disposition date − advance notice days.

What the result means

The main result is the estimated earliest disposition date under the entered policy period and hold extension.

Do not destroy records solely from this estimate. Confirm the governing schedule, matter status, preservation notices, jurisdiction, and defensible-disposition approvals.

Example calculation

A July 16, 2026 trigger with a 7-year period, no hold extension, and 90-day notice produces a July 16, 2033 disposition date and an April 17, 2033 review date.

Tips for better results

  • Keep the source and date for each assumption in the matter file.
  • Run low, expected, and high scenarios where an input is uncertain.
  • Separate materially different populations or work types instead of masking them in one average.
  • Recalculate when volume, staffing, fees, deadlines, or legal status changes.
  • Have the responsible professional approve any action based on the estimate.

Frequently asked questions

Which date should start the trademark filing retention period?

Use the event specified by the governing schedule, such as closure, final disposition, filing, expiration, or last activity.

How does the calculator handle fractional retention years?

It adds whole calendar years first, then converts the fractional portion using 365.2425 days per year.

Can a legal hold extend the calculated date?

Yes. Enter the hold extension in days, but do not assume disposal is authorized until the hold is formally released.

What happens when the review-by date is already past?

The page still shows the calculated dates and indicates that the disposition point has passed so the record can be escalated for review.

Is the calculated disposition date legal advice?

No. It is a date-planning estimate and must be checked against current law, policy, matter status, and approved disposition procedures.
