How to use this calculator

Formula

Available resource-hours = resources × scheduled hours per resource
Utilization = used resource-hours ÷ available resource-hours × 100

What the result means

The percentage shows the share of scheduled resource time consumed. Unused hours are the remaining time buffer in the same period.

Use identical time definitions in the numerator and denominator. A high percentage alone does not establish efficiency or an appropriate target.

Example calculation

18 resources × 7.5 scheduled hours = 135.0 available hours. With 120 used hours, utilization is 88.9% and unused time is 15.0 hours.

Tips for better results

  • Recalculate by shift instead of hiding peaks in a daily average.
  • Use system occupancy or labor records where possible.
  • Track downtime separately so its cause remains visible.
  • Compare utilization with throughput and service level.
  • Keep the resource definition consistent between periods.

Use scheduled resource time in the denominator and actual productive or occupied time in the numerator for the same period.

Can utilization exceed 100%?

An input producing more than 100% is rejected because used hours cannot exceed scheduled available hours under this definition.

Should breaks be removed from scheduled time?

Remove breaks only if your scheduled-time definition consistently excludes them for both planning and reporting.

Does high utilization prove the operation is efficient?

No. Utilization measures time use, not quality, throughput, congestion, or cost; review those measures separately.

Can different shifts be combined?

Yes, if resource counts and scheduled hours are converted into total resource-hours for the same reporting period.
