Freelance Proposal Net Earnings Calculator

Estimate what a freelance project proposal may actually leave after direct costs, platform or payment fees, and a tax reserve. The calculation makes each deduction visible and also converts the result into a net hourly earning rate. Use your own percentages because platform terms and tax treatment change by provider, location, and individual circumstances.

How to use this calculator

  1. Enter the accepted proposal amount and direct project expenses.
  2. Add the platform or payment fee percentage.
  3. Enter the estimated tax reserve rate and total project hours.
  4. Select Calculate to estimate net earnings, effective hourly pay, fees, and net margin.

Formula

Fee = proposal amount × fee rate. Pre-tax profit = proposal − fee − expenses. Net earnings = pre-tax profit − max(pre-tax profit, 0) × tax reserve rate.

What the result means

The main result is estimated project take-home before personal spending. The hourly secondary result includes all hours entered, not only billable delivery time.

This is a planning estimate. Actual deductible costs, fee treatment, and taxes depend on your contracts and jurisdiction.

Example calculation

A $10,000 project with $1,200 expenses and a 5% fee leaves $8,300 before tax. Reserving 25% ($2,075) gives $6,225 net earnings, or $62.25 across 100 hours.

Tips for better results

  • Include subcontracting, materials, and project-specific software in direct expenses.
  • Use the fee charged on the full client payment when applicable.
  • Count sales, admin, revision, and delivery time in total project hours.
  • Adjust the tax reserve for your own tax situation.
  • Compare effective hourly pay across projects, not just proposal totals.

Frequently asked questions

Is the platform fee calculated on gross proposal value?

Yes. This model applies the entered fee percentage to the accepted proposal amount.

Why is tax reserve not applied when the project shows a loss?

The calculator applies the reserve only to positive pre-tax project profit.

Should revisions be included in total project hours?

Yes. Include delivery, meetings, revisions, administration, and other time required by the project.

Can I include a fixed payment-processing fee?

Add fixed fees to direct project expenses and use the percentage field for variable fees.

Does net earnings equal accounting profit?

Not necessarily. It reflects only the expenses and reserve entered and is intended for proposal planning.
