How to use this calculator

  1. Enter the values from your current project or work period.
  2. Use realistic costs and time, including unpaid or nonbillable work.
  3. Select Calculate to update every result.
  4. Change one assumption at a time to compare scenarios.

Formula

Raw capacity = rush-window hours − protected hours. Usable capacity = raw capacity × (1 − productivity loss).

What the result means

Use the main result as a planning threshold under the assumptions entered. Secondary results explain the time, rate, revenue, or cost components behind that threshold.

Estimates are for planning only. Contract terms, local tax rules, actual expenses, and working conditions may produce different results.

Example calculation

A 48-hour window minus 30 protected hours leaves 18 hours. After a 10% productivity loss, 16.2 usable hours remain, fitting 3 five-hour jobs with 1.2 hours left.

Tips for better results

  • Use recent records instead of ideal estimates.
  • Keep billable time separate from total time worked.
  • Include project-specific costs before evaluating the result.
  • Run a conservative scenario for uncertain workload or demand.
  • Recalculate whenever scope, deadlines, fees, or expenses change.

Frequently asked questions

What reduces the rush work window?

Protected time is removed first, then the productivity-loss percentage reduces the remaining hours.

Why are complete rush jobs rounded down?

A job counts only when its full stated hours fit within usable capacity.

How is potential revenue estimated?

Hours used by complete rush jobs are multiplied by the rush billing rate.

What happens to leftover capacity?

It is shown separately and is not counted as revenue unless a complete job fits.

Can protected hours exceed the rush window?

No. The calculator blocks that combination because usable time would be negative.
