How to use this calculator

  1. Choose one consistent measurement period.
  2. Enter starting clients, ending clients, and clients newly added during that period.
  3. Enter average recurring monthly revenue per active client.
  4. Review retention, churn, client loss, and retained revenue together.

Formula

Retention rate = (ending clients − new clients) ÷ starting clients × 100

What the result means

Retention isolates existing clients who remained. A growing ending count can still hide churn when many new clients were required to replace departures.

Client transfers, pauses, reactivations, and one-time visitors should be classified consistently in every period.

Example calculation

Starting with 120 clients, ending with 115, and adding 20 means 95 original clients remained. Retention is 79.17%, churn is 20.83%, and 25 clients were lost.

Tips for better results

  • Use cohort-level retention for a clearer view of onboarding quality.
  • Separate voluntary cancellations from payment failures.
  • Track pauses consistently rather than moving them between active and churned.
  • Compare retention by membership plan.
  • Pair the rate with client feedback and visit frequency.

Frequently asked questions

Can I use the client retention estimate as a guarantee?

No. It is a planning estimate based on the values you enter; actual outcomes can differ.

What happens if one of my inputs is zero?

Zero is accepted only where it has a practical meaning. The calculator flags values that would make the calculation invalid.

Should I use weekly or monthly data?

Use the period requested by each field and convert your records consistently before entering them.

How often should I update this calculation?

Recalculate whenever pricing, volume, performance, or operating assumptions change materially.

What is the most important limitation?

The formula does not distinguish pauses, reactivations, or client quality; define those statuses consistently.
