Wedding Seating Budget per Guest Calculator

Estimate wedding seating cost per guest from chair rentals, table rentals, delivery, setup, décor, tax, and contingency. The calculator rounds the table count up based on usable seats per table and separates rental subtotal from added charges, making vendor quotes easier to compare on a consistent per-guest basis.

How to use this calculator

  1. Enter the number of guests who need seating.
  2. Add chair cost and usable seats per table.
  3. Enter table, delivery, setup, and per-guest décor costs.
  4. Apply only charges not already included in the quoted prices.

Formula

Tables = ceil(guests ÷ seats per table)
Subtotal = guests × (chair cost + décor cost) + tables × table cost + fixed costs
Total = subtotal × (1 + tax rate) × (1 + contingency)
Cost per guest = total ÷ guests

What the result means

The main result spreads chairs, whole-table rentals, fixed charges, tax, and contingency across all seated guests.

Confirm whether delivery, pickup, linens, damage waivers, tax, and service charges are already included in supplier quotes to avoid double-counting.

Example calculation

For 150 guests, $8 chairs, 8 seats per table, $45 tables, $650 fixed costs, and $6 décor per guest, 19 tables are required and the subtotal is $3,605. With 8% tax and 5% contingency, total cost is $4,088.07, or $27.25 per guest.

Tips for better results

  • Use usable seats per table after accounting for place settings.
  • Compare delivery and pickup terms across rental vendors.
  • Check whether linen and chair décor are bundled.
  • Keep a small contingency for breakage or last-minute additions.
  • Recalculate after the final RSVP deadline.

Frequently asked questions

Why is the wedding table count rounded up?

A partially filled final table still requires a whole table rental.

Should the couple and wedding party be included in seated guests?

Yes, include everyone who needs a chair and table place in the planned layout.

Where should linen rental costs be entered?

Use décor cost per guest when priced per setting, or add a bundled amount to fixed costs.

Does the calculator apply contingency after tax?

Yes. It applies tax or service charge to the subtotal, then applies contingency to that amount.

How can I compare vendors with different fee structures?

Enter each quote using the same guest count and separate per-item, fixed, and percentage charges consistently.
