Formula

Net cost per guest = [(fixed costs + variable cost × guests) × (1 + contingency) − sponsor income − other income] ÷ guests

What the result means

This is the remaining cost burden per expected attendee after non-guest income. Compare it with ticket price, registration fee, donation target, or internal event budget.

Budget note: exclude uncommitted sponsorship or donations from the base case and run a separate upside scenario.

Example calculation

Using $45,000 in fixed costs, $95 per guest, 300 guests, $20,000 in sponsor income, $5,000 other income, and 10% contingency gives a net cost of $186.17 per guest.
