How to use this calculator

  • Enter the original order value.
  • Add the refund amount paid to the customer.
  • Enter product, shipping, processing, or handling costs that cannot be recovered.
  • Add any inventory value you can recover and resell.

What the result means

The result shows how much value remains after a refund and whether the refund is a minor service cost or a material profit drain.

Refund Rate = Refund Amount ÷ Order Value × 100. Net Refund Loss = Refund Amount + Nonrecoverable Cost − Recoverable Value.

Refunds are less damaging when inventory can be resold, shipping is not refunded, or exchanges replace full cash refunds.

Example calculation

For a $120 order with an $80 refund, $35 nonrecoverable cost, and $20 recovery value, the net refund loss is $95.

Tips for better results

  • Offer exchanges when appropriate.
  • Record refund reasons by order source.
  • Separate partial refunds from full refunds.
  • Review high-refund products monthly.

FAQ

What is a normal Shopify refund rate?

Many stores target a low single-digit refund rate, but category, product type, shipping quality, and customer expectations can change the acceptable range.

How much do refunds affect Shopify profit?

Refunds affect profit through returned revenue, product cost, shipping, payment fees, support time, and inventory that cannot be resold.

Should Shopify stores refund shipping costs?

Shipping refunds depend on policy and reason. Refunding shipping for seller mistakes protects trust, but routine free shipping refunds can damage margins.

Can exchanges reduce Shopify refund losses?

Yes. Exchanges can preserve revenue, reduce cash refunds, and keep the customer relationship active if the replacement cost is controlled.

How do refunds affect ecommerce cash flow?

Refunds immediately reduce cash available while some costs remain fixed or unrecoverable, so frequent refunds can strain operating cash flow.
