Formula

Conversion rate = accepted opportunities ÷ offered opportunities × 100

What the result means

The rate shows the share of overtime opportunities that employees accepted. The gap and required-offer estimate translate the percentage into a staffing action.

Count offers and acceptances over the same period and at the same level—for example, shift offers rather than individual messages.

Example calculation

With 120 opportunities offered and 84 accepted, the conversion rate is 70%. There are 16 shifts left to fill, and at the same rate about 23 additional offers are needed.

Tips for better results

  • Compare like-for-like shift types and notice periods.
  • Track unique opportunities, not reminder messages.
  • Segment by location or shift to find weak windows.
  • Offer predictable notice where operationally possible.
  • Recalculate after schedule or incentive changes.

Frequently asked questions

Should repeat overtime messages count as new offers?

No. Count the underlying opportunity once unless it is genuinely offered to a different eligible employee.

Can the accepted count exceed the offered count?

No. The calculator rejects that input because every acceptance must correspond to an offered opportunity.

How are additional offers estimated?

The remaining target is divided by the current conversion rate and rounded up to a whole offer.

What if no overtime opportunities were offered?

A conversion rate cannot be calculated with zero offers; enter at least one offered opportunity.

Does acceptance guarantee the shift will be worked?

No. This measures commitments, not attendance. Track completed shifts separately if cancellations matter.
