Formula

Available hours = scheduled employees × hours each − absent hours; capacity gap = max(0, required hours − available hours)

What the result means

A positive gap is the work demand not covered after absences. The FTE result converts that gap into equivalent full-time staffing for the same period.

Required workload hours should reflect realistic productivity and service assumptions; raw paid hours may not equal usable capacity.

Example calculation

Eighty employees scheduled for 40 hours provide 3,200 hours. After 360 absent hours, 2,840 remain against 3,000 required, leaving a 160-hour gap or 4.0 FTEs at 40 hours each.

Frequently asked questions

Can available capacity be negative?

No. If absent hours exceed scheduled hours, available capacity is floored at zero and the input should be reviewed.

What period should the calculator cover?

Any period works—week, month, or quarter—as long as all hour inputs refer to that same period.

How is the FTE gap calculated?

The uncovered capacity gap is divided by the hours one full-time employee supplies during the selected period.

What if available hours exceed required hours?

The gap is zero and the calculator reports the remaining surplus capacity separately.

Should training time be entered as absence?

You may subtract it as unavailable time, but label and track it separately in your source data when possible.
