How to use this calculator

  1. Choose one consistent workforce and measurement period.
  2. Enter the operational counts, rates, hours, and costs requested.
  3. Select Calculate to update the estimate and supporting results.
  4. Test alternative assumptions before using the result in a plan.

Formula

Lost hours = employees × (absence days × day hours + presenteeism hours × reduction rate); value = lost hours × loaded hourly value

What the result means

The estimate combines fully lost absence time with only the reduced-output portion of presenteeism hours, avoiding treatment of every affected hour as completely lost.

Avoid double counting: presenteeism-affected hours should exclude hours already recorded as absence.

Example calculation

For 120 employees with 5 eight-hour absence days plus 30 affected hours at 25% lower output, lost time is 5,700 hours. At $38 per hour, estimated value is $216,600.

Tips for better results

  • Keep absence and presenteeism hours mutually exclusive.
  • Base the reduction rate on internal evidence when possible.
  • Use the same population and period for every input.
  • Separate labor value from lost revenue.
  • Run sensitivity scenarios for uncertain presenteeism assumptions.

Frequently asked questions

Why are presenteeism hours not counted as fully lost?

Employees are still working during those hours, so only the selected output-reduction portion is treated as lost.

Can I omit presenteeism from the estimate?

Yes. Enter zero affected hours or a zero reduction rate to calculate absence-only productivity loss.

What labor value should I use?

Use a loaded hourly cost or another consistent value of productive labor, but document the choice.

Does the calculator include replacement coverage?

No. It values lost productive hours. Coverage premiums and administration can be modeled in the annual cost calculator.

How do I avoid double counting partial-day absence?

Record the unavailable portion as absence time and include only remaining worked hours in presenteeism inputs.
