How to use this calculator

  1. Enter total attendance and the expected drinking share.
  2. Set consumption pace and bar-service duration.
  3. Allocate alcoholic servings among beer, wine, and spirits; shares must total 100%.
  4. Add nonalcoholic demand and a reserve percentage.

Formula

Alcoholic servings = guests × drinker rate × drinks/hour × hours × (1 + reserve)
Beer units = servings × beer share
Wine bottles = ceil(wine servings ÷ 5)
Spirit bottles = ceil(spirit servings ÷ 16)
Nonalcoholic servings = guests × drinks per guest × (1 + reserve)

What the result means

The main result is the total number of beverage servings to have available, including the reserve. Bottle conversions use five wine servings and sixteen spirit servings per 750 ml bottle.

Serving sizes, guest behavior, return policies, legal service rules, and product packaging vary. Confirm the final order with a licensed provider.

Example calculation

For 150 guests, 75% drinking, one drink per hour for five hours, the base is 562.5 alcoholic servings. With 10% reserve, plan 619 alcoholic servings. At a 40/40/20 mix, that is about 248 beer servings, 50 wine bottles, and 8 spirit bottles, plus 330 nonalcoholic servings.

Tips for better results

  • Use different consumption assumptions for afternoon and late-night events.
  • Always provide appealing nonalcoholic options.
  • Match product mix to guest preferences rather than a generic average.
  • Confirm actual servings per bottle with the pour size.
  • Check whether unopened products can be returned.
