How to use this calculator

  1. Enter peak attendance and the main arrival window.
  2. Set a realistic entry throughput per worker.
  3. Enter service and security planning ratios.
  4. Set scheduled hours for the peak team.
  5. Review every role count against the operating plan.

Formula

Entry staff = ⌈Attendance ÷ (Arrival hours × Entry throughput)⌉
Peak staff = Entry + ⌈Attendance ÷ Service ratio⌉ + ⌈Attendance ÷ Security ratio⌉ + Supervisors

What the result means

The main result is the number of people simultaneously scheduled for the modeled entry, floor/service, security, and supervisory roles.

Staffing obligations vary by venue, event risk, jurisdiction, union rules, licensing, and permit conditions.

Example calculation

For 900 attendees arriving over two hours at 120 guests per worker-hour, entry requires 4 staff. At 150 guests per service worker and 300 per security worker, the roles are 4 entry, 6 service, 3 security, and 2 supervisors: 15 peak staff.

Tips for better results

  • Model the busiest arrival period rather than daily attendance.
  • Separate fixed posts from ratio-based roles.
  • Add relief for breaks and long shifts.
  • Confirm licensed or certified roles independently.
  • Document who has decision authority during an incident.

Frequently asked questions

How is entry staffing calculated?

Attendance is divided by the arrival window and the number of guests one entry worker can process per hour.

Does peak staff include supervisors?

Yes. The estimate adds one supervisor per ten calculated entry, service, and security staff, with a minimum of one.

Can the result determine legally required security staffing?

No. Use the calculator for planning and follow venue, permit, insurer, and local authority requirements.

How should multiple shifts be handled?

Run each operating period separately or multiply role counts by the number of shifts, including overlap and breaks.

Why are all role counts rounded up?

A fraction of a staffed position cannot cover a post or process guests, so each role is rounded up.
