Translate analytics staffing and delivery speed into realistic period capacity. Enter team size, completed items per person-day, available workdays, productive utilization, and planned demand. The calculator shows effective capacity, surplus or backlog, required utilization, and the minimum team size at the same productivity. Treat “item” as one consistent unit such as a standardized analysis request or dashboard change.
Effective capacity = workers × rate × time × utilization
Required workers = ceiling(demand ÷ capacity per worker). The demand gap equals effective capacity minus demand.
A positive gap indicates spare capacity under the assumptions; a negative gap indicates expected backlog. Required utilization above 100% means staffing, speed, time, scope, or demand must change.
Capacity is only as reliable as the unit definition and sustained-rate estimate. Account for quality review and rework in the utilization or rate.
Six team members completing 3 items per person-day for 20 days at 70% utilization provide capacity for 252 items. Against demand of 300, the backlog is 48 items and eight team members are needed at the same assumptions.
Use the share of available time that produces completed units after meetings, maintenance, review, switching, and expected interruptions.
