Validation is useful when a spreadsheet has to follow rules: required columns must exist, IDs should be unique, emails and URLs need sensible formats, values must stay within an expected range, or categories should come from an approved list. A file can open perfectly and still contain structural errors that cause trouble when it is imported, analyzed, or shared.
A good quality check combines hard rules with context. A value outside the usual range may be wrong, but it may also be a genuine exception. Likewise, a technically valid email address is not necessarily a real one. Use validation tools to surface rows that deserve attention, then review the exceptions instead of assuming every flagged value should be changed automatically.
Practical tips
- Define required columns and allowed values before checking the file.
- Separate format errors from business-rule errors when reviewing results.
- Treat outlier detection as a prompt for inspection, not proof of bad data.
- Check uniqueness on the real identifier column, not just names.
- Run the same validation again after corrections to confirm the file is clean.
