Telehealth Visit Staffing Requirement Calculator

Estimate telehealth visit staffing requirement using operational inputs you can adjust for your own telehealth visit workflow. The calculator shows the main planning result alongside capacity, time, or workload details so you can spot the assumption driving the answer. Use recent local data and compare more than one scenario before changing schedules, rooms, staffing, or booking rules.

Calculator

Operational inputs
cases
Expected completed cases or tasks per day.
min
Hands-on staff time for one completed case.
hr
Scheduled paid hours in the day.
%
Share of paid time available for this workload.

How to use this calculator

  • Enter the workload and resource assumptions for one consistent planning period.
  • Use recent operational records for rates, time per case, and productive time.
  • Select Calculate and review both the headline result and supporting measures.
  • Change one assumption at a time to compare practical scenarios.

Formula

Required FTE = (daily scheduled visits × minutes per case ÷ 60) ÷ (paid hours × productive-time percentage)

FTE means the workload equivalent of one full scheduled shift, not necessarily one individual employee.

What the result means

The result estimates workload-based staffing for a typical day. Rounding up gives shift headcount only when every scheduled person has the same hours and usable-time assumption.

Planning estimate only. Verify modality or role qualifications, supervision, local labor rules, leave relief, on-call coverage, and demand by hour before setting a schedule.

Example calculation

For 120 daily tasks at 28 minutes each, an 8-hour shift at 78% productive time provides 6.24 productive hours per FTE. The workload is 56 hours, so the estimate is 8.97 FTE.

Tips for better results

  • Use the same time period for every input.
  • Separate workflows that require different skills, rooms, or equipment.
  • Use a weighted average when case types have different durations.
  • Compare typical and peak-demand scenarios.
  • Recheck inputs after a workflow or schedule change.

Frequently asked questions

Does the telehealth visit workflow staffing estimate include breaks?

Breaks are reflected only through the productive-time percentage. Lower that percentage if breaks, meetings, documentation, or setup consume more paid time.

Should required FTE be rounded up to a whole person?

Round up for a single shift when partial staffing is unavailable. Across a week, fractional FTE may be covered through staggered or part-time schedules.

How do I account for different staff roles?

Run the workload separately for each role when tasks cannot be shared, then combine only roles that are operationally interchangeable.

Can I enter average case time when procedures vary?

Yes, but a weighted average based on the expected case mix is more reliable than a simple average.

Why is productive time lower than paid time?

Paid time can include breaks, handoffs, documentation, cleaning, meetings, and other work that does not directly complete a case.
