Telehealth Visit Room Utilization Calculator

Estimate telehealth visit room utilization using operational inputs you can adjust for your own telehealth visit workspace. The calculator shows the main planning result alongside capacity, time, or workload details so you can spot the assumption driving the answer. Use recent local data and compare more than one scenario before changing schedules, rooms, staffing, or booking rules.

Calculator

Operational inputs
channels
Comparable spaces available during the period.
hr
Scheduled availability for each space.
hr
Sum of occupied time across all spaces.
hr
Optional documentation, reset, or technical setup time counted as unavailable.

How to use this calculator

  • Enter the workload and resource assumptions for one consistent planning period.
  • Use recent operational records for rates, time per case, and productive time.
  • Select Calculate and review both the headline result and supporting measures.
  • Change one assumption at a time to compare practical scenarios.

Formula

Utilization = (occupied hours + blocked hours) ÷ (rooms × open hours per room) × 100

All time inputs must cover the same planning period.

What the result means

Utilization shows the share of scheduled space time already consumed by activity and required turnover. It does not reveal whether demand and free time occur at matching hours.

Do not interpret a single utilization percentage as a service-quality target. Platform downtime, clinician permissions, documentation blocks, scheduling buffers, and peak-hour congestion require separate review.

Example calculation

Four channels available for 10 hours provide 40 channel-hours. With 30 occupied hours and 2 blocked hours, utilization is 80.0%, leaving 8 channel-hours unallocated.

Tips for better results

  • Use the same time period for every input.
  • Separate workflows that require different skills, rooms, or equipment.
  • Use a weighted average when case types have different durations.
  • Compare typical and peak-demand scenarios.
  • Recheck inputs after a workflow or schedule change.

Frequently asked questions

Should turnover time count in telehealth visit workspace utilization?

Include it when the room cannot serve another case during documentation, technical setup, or reset.

Can utilization exceed 100 percent?

Not under consistent inputs. A value above 100% means occupied and blocked hours exceed the scheduled channel-hours, so the period or channel count needs correction.

Should canceled appointments count as occupied time?

Count only the time the space was actually unavailable. A cancellation with no room use generally should not be counted.

Can I calculate weekly room utilization?

Yes. Use weekly occupied and blocked hours and multiply each channel by its weekly open hours rather than using daily values.

Does unused room time equal available appointment capacity?

Not necessarily. The open time may fall outside demand peaks or lack the required staff, equipment, or room type.
