Formula

Quantity = guests × consumption rate × relevant duration × (1 + buffer)
Coffee cups = guests × coffee share × cups per drinker × (1 + buffer)

Every total is rounded up to a whole serving or portion.

What the result means

The main result is the combined count of planned food and cold-drink servings. Separate figures are more useful for ordering because meal portions, snack pieces, drinks, and coffee use different package sizes.

Dietary restrictions, alcohol service, meal timing, climate, and caterer package sizes are not inferred. Confirm the menu and service plan with the caterer.

Example calculation

For 250 guests over 4 hours, with one meal, 1.5 snack pieces and one cold drink per guest per hour, a 60% coffee share at 1.5 cups each, and an 8% buffer, plan 270 meals, 1,620 snacks, 1,080 cold drinks, and 243 cups of coffee.
