Formula

Role staff = ceiling(guests ÷ role ratio)
Live staff = ceiling(sum of role staff × (1 + relief coverage))
Labor hours = live staff × event hours + setup crew × setup/teardown hours

The main result is the scheduled people across live and setup roles. Total labor hours reveals the larger cost driver when shifts are long, while the role breakdown shows where staffing assumptions have the most impact.

This is a planning estimate. Venue rules, licensing, crowd risk, alcohol service, emergency plans, contracts, and local law may impose different minimum staffing.

Example calculation

For 600 guests over six hours, ratios of 100 registration, 75 floor, 30 food-service, and 150 security guests per worker produce 38 base live staff. With 10% relief this becomes 42 live staff. Eight setup workers at five hours bring total labor to 292 hours.

Why are role requirements rounded up?

A fraction of a worker cannot cover a role, so each baseline role and the relief-adjusted live total are rounded up.

Can I set a role to zero staff?

The ratio fields require a positive value. If a role truly does not apply, use a very large guest-per-staff ratio and verify the resulting plan manually.

Is this enough staff for an event serving alcohol?

Not necessarily. Alcohol service can require licensed servers, added security, age checks, and local compliance measures outside this estimate.
