Prepare spreadsheets for sharing without exposing more than you intended

A spreadsheet can contain sensitive information beyond the cells you plan to show. Hidden columns, comments, old worksheets, names, email addresses, IDs, metadata, and formulas may all reveal details when a file is exported or sent outside the original team. Privacy and export work should therefore include a deliberate review, not just a quick “Save As.”

If data needs to be anonymized, decide whether values should be removed, masked, replaced, or aggregated while keeping the sheet useful for its purpose. For printing, check page breaks, repeated headers, scaling, and whether confidential columns are still visible. When the final document is going to a customer, regulator, or public audience, open the exported file separately and review exactly what the recipient will see.

Practical tips

  • Inspect hidden sheets, rows, columns, comments, and metadata before sharing.
  • Use irreversible removal when information must not be recoverable.
  • Keep a private source copy separate from the sanitized export.
  • Preview page breaks and scaling before printing wide tables.
  • Open the exported file as a recipient would and check every visible sheet or page.
