Formula

Field hours = visits × (service + travel minutes) ÷ 60
Planned FTE = field hours ÷ productive hours × (1 + coverage rate)

What the result means

Planned FTE represents time-based field capacity. It does not ensure that every shift, geography, credential, language, or continuity requirement is covered.

Validate the result against local employment rules, care requirements, skill mix, and actual route constraints.

Example calculation

For 520 weekly visits at 60 service minutes plus 25 travel minutes, workload is 736.7 hours. Dividing by 30 productive hours gives 24.56 base FTE. A 15% coverage allowance raises the plan to 28.24 FTE, or 29 whole caregivers.

Tips for better results

  • Use a recent four- to eight-week average instead of one unusually busy day.
  • Keep paid hours separate from genuinely productive service hours.
  • Run a conservative and an expected scenario before changing schedules.
  • Recalculate after a material change in demand, travel, documentation, or coverage.
  • Treat the estimate as an operating-plan input, not a clinical or staffing mandate.
