Formula

Utilization = encounters × minutes per encounter ÷ 60 ÷ (spaces × open hours) × 100

What the result means

Utilization compares time demanded with time physically scheduled. Values above 100% signal that the stated workload cannot fit without overlap, overtime, or changed assumptions.

This is an average-flow estimate. It does not capture hourly arrival peaks, cleaning closures, isolation needs, or space reserved for emergencies.

Example calculation

With 180 vaccinations at 12 minutes each, eight stations open eight hours provide 64 station-hours. Demand is 36 hours, so utilization is 56.3% and 28 hours remain.

  • Use median and peak-day scenarios, not only a monthly average.
  • Include cleaning and documentation time in encounter duration.
  • Separate spaces with different clinical capabilities.
  • Review hourly bottlenecks even when daily utilization looks comfortable.

What time should be included for each vaccination?

Include all minutes the space is unavailable to another patient, including setup, service, documentation, and turnover.

Can utilization exceed 100 percent?

Yes. That means the entered workload requires more space-hours than scheduled and cannot fit as modeled.

Should closed or reserved rooms be counted?

No. Count only spaces that are actually available for the modeled work during the stated hours.

Does lower utilization always mean poor performance?

No. Reserved capacity may be necessary for peaks, urgent cases, privacy, cleaning, or infection-control constraints.

How should variable daily demand be handled?

Run separate average, busy-day, and peak scenarios to see how much capacity remains under each workload.
